Job Title: Safety, Health, Environment & Quality (SHEQ) Fleet & Telecomms Officer

Location: West Midlands

Salary: £28,000 - £30,000 p/a


We are currently recruiting a Safety, Health, Environment & Quality (SHEQ) Fleet & Telecomms Officer for our client based in the West Midlands the role will be responsible for supporting the SHEQ Manager in all aspects of managing, developing and improving our Health & Safety, Environment, Fleet, Telecommunications, Security, Business Continuity and Training.

Main Duties:

  • The role is to administer and run systems to provide their employees with safe vehicles and operational telecommunications and data processing equipment.
  • In addition to working for the SHEQ Manager this role will entail liaison with our parent company over leased vehicles and group insurances plus group telecommunications policy.

Fleet Duties:

  • Register and validate documentation for all drivers and their vehicles who are issued vehicles for company business, are receiving car user allowances to provide vehicles for company business or spouses who may be authorised to drive company vehicles in addition to employees
  • Undertake license and documentation checks for authorised drivers
  • Oversee the implementation and management of our FORS (Fleet Operator Recognition Scheme) management system
  • Deal with insurance claims and reports from employees and third parties, including liaison with group fleet management, brokers, insurers and drivers and updating online data systems
  • Organise vehicle recovery, works and servicing with garages, tyre fitters, recovery services and the like to keep vehicles legal and roadworthy
  • Raise Purchase Orders for works and parts as required, within designated purchase threshold value
  • Organise vehicle hire when required, Maintain an Asset Register of vehicles and Administer and record fuel card distribution
  • Organise purchases and keep road fund licenses up to date
  • Maintain the annual registration of the Company's Goods Vehicle Operators License
  • Manage the use of tachographs and related smart cards by truck drivers, download and store the data and issue to authorities if required.
  • Notify SHEQ Manager of any offences committed by drivers.
  • Administer the vehicle tracker systems, check records and notify the SHEQ Manager of any offences committed by drivers
  • Process the payment by employees of fines and parking penalties
  • Administer the Company's Congestion Charging and Toll Charge accounts
  • Monitor condition, costs and mileage of each vehicle to determine replacement requirements
  • Organise the leasing of new or replacement vehicles
  • Sell non-leased vehicles at the expiry of their useful economic life
  • Manage and secure spare keys for vehicles and Manage and secure spare vehicles
  • Maintain fuel consumption KPIs
  • Undertake random vehicle inspection checks and record checks by users and supervisors
  • Implement and manage driver training programmes

Telecommunications & IT

  • Maintain and administer a secure stock of handsets for issue as replacements or for new employees
  • Purchase hand sets and accessories as required, within designated purchase threshold value
  • Issue mobile devices to employees as instructed and recover mobile devices from employees leaving the business
  • Set up and activate mobile devices and Set up Apps and other tools on mobile devices as instructed Purchase Apps or licenses required, within designated purchase threshold value
  • Organise the registration of all devices on the mobile device management system and have any that are scrapped removed from the system
  • Maintain an Asset Register of telecommunications devices and equipment
  • Maintain and administer vehicle hands free equipment
  • Maintain and administer battery charging equipment
  • Maintain a secure register of passwords and PIN codes

General SHEQ Duties:

  • Organise and record DBS checks
  • Organise online tests and the purchase of CSCS cards
  • Handling confidential information
  • Administer the security provisions of premises, vehicles, equipment and materials
  • Support the SHEQ team in maintaining KPIs for SHEQ activities

The successful applicant will have the following experience and qualifications:

  • Full driving license
  • An NVQ qualification of relevance to the role, at Level 2 or higher, e.g. business administration or fleet administration, C&G Commercial Vehicle Fleet Management Certificate or Diploma, etc.
  • Minimum 1 year of experience in a data rich systems management environment
