Title: Compliance Consultant

Contract Position based at: Whitley


Rate -  Up to £23.30/hour Ltd Co (which equals £18.32/hr PAYE rate)


Position Description:

The purpose of this role is to embed compliance for employee document management within the HR Direct service. The incumbent of this role will act in a coaching capacity to identify and drive continuous improvement for employee document related to people processes across the group. This individual will support the implementation of the Open Text document management solution within the HR Direct service. This individual will have long term responsibilities to ensure compliance and good practice operating methods are applied in managing this new technology.

Key Accountabilities and Responsibilities

  • Responsible for the confidential filing and maintenance of employees` files within Open Text, employee document management technology
  • Govern employee document management standards through the master HR document register and work with all HR stakeholders to ensure employee document standards are met
  • Facilitate the process for ensuring new employee documents to be filed are designed to agreed operating standards and in line with the master HR document register
  • Lead processes to ensure Open Text operates to agreed employee document standards and operates in line with agreed standards for things like purging
  • Undertake benchmarking to develop industry best practice for employee document management, work with process owners to define and implement changes to business standards
  • Grow stakeholder knowledge relating to data and document management governance
  • Provide training and support to data champions and process operators
  • Provide advice and guidance for process owners working on projects impacting on document management.
  • Provide dispute/challenge resolution for escalations Maintain and improve the processes that are required to manage employee documents, ensure that the processes are fit for purpose and develop in line with changing business priorities
  • Maintain and improve the Master HR Document Register

Skills Required:

  1. Employee document management experience within another organisation
  2. GDPR compliance experience
  3. Relevant degree or equivalent experience preferred

  • Resilient and enthusiastic, an individual able to deliver results under pressure

Education Required:

Relevant degree or equivalent experience preferred
